Understanding Workspaces

Workspaces are the foundation of how Onlinedrive organizes files and collaboration. Every file belongs to a workspace, and workspaces can be shared with other users.

What Is a Workspace?

A workspace is a separate file storage area with its own files, folders, and team members. Think of it like a shared drive that multiple people can access.

Your Personal Workspace

When you create an account, Onlinedrive automatically creates a personal workspace for you. This workspace:

  • Appears as My Files in the workspace chip
  • You are the owner with full control
  • Only you can see it unless you invite others
  • Lives in the storage region of your drive account

Creating Additional Workspaces

You can create more workspaces for different projects or teams. Shared workspaces are included on the Professional plan and above:

Plan Workspaces Members per workspace
Professional 3 5
Business 10 20
Premium 15 35
Corporate 20 50
Ultimate 30 75
Enterprise 40 100

To create one:

  1. Go to Workspaces in the sidebar
  2. Click Create Workspace
  3. Enter a name for your workspace
  4. Your workspace is created and you're set as the owner

Switching Workspaces

Use the workspace chip in the header of the Files view to switch between My Files and your shared workspaces. When you switch:

  • The file browser updates to show that workspace's files
  • Uploads go to the active workspace
  • The workspace name appears in the chip

Workspace Roles

Each workspace member has a role that determines what they can do:

Role View Download Upload Edit Delete Manage members
Contributor Yes Yes Yes Own files Own files No
Editor Yes Yes Yes All files All files No
Admin Yes Yes Yes All files All files Yes
Owner Yes Yes Yes All files All files Yes, plus delete the workspace

Inviting Others

As a workspace owner or admin, you can invite others to join your workspace. See the "Inviting Team Members" article for details.
